Do I need to purchase Adobe Acrobat? That is the question that many of my clients have asked me over there years. I don’t have a yes or no answer. Say it with me “It Depends”. It depends on what your needs are. Do you need to create and edit advanced PDF documents? If yes then by all means pay for Adobe Acrobat. It is one of the best PDF creating and editing packages availble. It is a very powerful tool that makes creating advanced PDF documents easily. Do you just need to convert existing documents to PDF? Then no, don’t buy Adobe Acrobat. You can save to PDF with most modern office document suites. Microsoft Office, Open Office and LibreOffice all support saving a document as a PDF file. You can also install one of the multitudes of PDF printers. I prefer PDFCreator. It’s easy to use but has lot’s of powerful features for the more advanced users. PDF documents that need special features should be created by Adobe Acrobat. PDF files that are a copy of a current document, and that do not need to be edited do not have to be created by Adobe Acrobat. Smart phones get lost and stolen everyday. There are some things we can do to eliminate some of the sting. We carry our scheudle, contacts, pictures, social applications all on one device. Basically, our entire work and personal life lives in one device. If this device is lost or stolen, whoever gains control of that device has control of our information. It’s bad enough losing a $650 iPhone, it’s disatourous to lose schedule or contacts. Securing your phone with a password is the first stop in minimizing your data loss. Creating passcode may slow down any attempt at retriving data from your lost or stolen device. Recently, I turned off simple passcode on my iPhone4. This allows me to use alphanumeric passwords on my iPhone. This will make it much harder to figure out the password and get access to my data. A passcode is a hassle but even a simple passcode will slow a bad guy down. Every additional digit adde d to the passcode will make it harder to crack. Make sure your phone locks automatically. If the phone is not locked the passcode will not help. Leave the front door unlocked and the bad guys can just waltz in. Once again this is not always convenient, but it helps to keep your information safe. You can also set the phone to do a secure wipe after so many wrong passcode attempts. This will prevent any data loss. Some of your applications on your phone will allow you to put a passcode on the application itself. If it’s very sensitive data, use the passcode if it is available. Most mobile operating systems have some kind of tracking service that you can install on your smart phone. I’ve personally used the Find My iPhone application on a family members phone. As long as the phone is not turned off or the SIM removed this will tell you the current location of your phone. It’s not really that helpful for a stolen phone, but it can help locate a lost phone. If the phone is stolen the bad guy will usually turn the phone off or remove the SIM. The iOS Find My iPhone app will let you send messages to the phone, lock it, and wipe it remotely. To prevent loss of the information on your iPhone you can download and install applications that save your information to the cloud. Whether it be email, contacts, pictures or documents there are endless apps available to send that information to server on the Internet. You can synch your pictures to a cloud service such as DropBox or iCloud. These applications allow you to have all of the photos you take uploaded to a server on the Internet. Something happens to your phone and you will still have access to the pictures that you have taken. Most all mobile operating systems have some way to synch your pictures to some service on the Internet. Since, some of us take a lot of pictures using our smart phones, it’s a good idea to set one of these services up on our device. I use an Microft Exchange account for my work email,contacts and calendar. This service allows me to access all of my important email, contacts and schedule while mobile. The great thing about this service is all the information stays on the servers at my office. I never have to worry about losing this information, it is contstantly up to date on the server. You can also use services like Gmail to synch your email, contacts and calendar to the cloud. If you keep passwords on your phone, using a secure password manager can help keep them secure. Most of the good password managers for mobile devices also have a desktop component. The one you want is one that allows you to access all of your passwords on any device. They are also stored securely on the Internet so you never have to worry about losing your passwords if you lose your smart phone. You can also find all kinds of ways to store your documents online from your phone. I use a program called Evernote to access notes and documents. It’s a great way to organize your information in a way that is accessible from all of your devices. Put informaion into the application on your phone and it is accesible from your desktop or even the web site. Everybody, loses or gets a device stolen at some point. Taking steps to reduce the impact of the loss now, will eliminate a lot of stress when it happens. Try to find the device first. If you a certain that it is stolen or lost, report it to the police. There is not a lot that they can do about it, but it will help if your device is being used by an unauthorized user. If all of the information on your device is synched to the cloud, wiping the device remotely will prevent anyone from accessing the device or it’s information. Even if you do recover the device, if all the information is synched to the Internet you can restore your phone easily. At the very least I hope this makes you think a little closer about what you would happen if your phone was lost or stolen. Take some time to inventory your mobile devices. Find ways to minimize the data loss. Trust me, it will be worth it in the long run. Local Web Site Spotlight: The Christian County YMCA has programs and activities for the whole family. Should I upgrade to Windows 7? For the past couple of years I’ve been getting this question at least once a week. With Windows 8 on the horizon, I’m starting to get “Should I upgrade to Windows 7 or wait for Windows 8?” Long Answer: Here’s what I think. Microsoft is going to cease extended support for Windows XP April 2014. That gives us all a little wiggle room. It’s coming fast, but it’s not quit here yet. Windows 8 is expected to be released before the end of the year. That makes Windows XP even more outdated that it was before. We can still get updates for it, but not for long. So back to the question. Should I upgrade to Windows 7? If you are running Windows XP on your computer, no, don’t upgrade the operating system. Buy a new computer. Harsh, but the truth is if your system is still running Windows XP, it’s probably time to retire it, not upgrade the OS. If you are running Windows Vista, Yes, by all means, upgrade the to Windows 7. Most computers that run Windows Vista can run Windows 7. Windows 7 is a lot more polished than Windows Vista and it has been tuned to run faster. The difference to me is noticable. Not everyone feels the same way as I do, but most people in my field will tell you to upgrade. If you decide to upgrade from Windows Vista to Windows 7, I suggest go ahead and upgrade the RAM, if you have less than 2 GB. These two upgrades will make a world of difference on a machine that is Windows Vista capable. As far as waiting for Windows 8, unless, there is some feature that Windows 8 has that you just have to have, then don’t wait. Windows 7 is a great operating system. It’s past it’s first service pack, so it’s mature and stable. Wait to get Windows 8 when you buy a new computer after it’s been out a while. Large organizations usually wait unitl the first service pack before deploying a new operating system. That’s a little extreme for most small businesses, but some may benefit from that strategy. Smaller businesses may want to upgrade when they by new computers. This will allow your computer’s operating system to be supported by Microsoft longer. Short Answer: 1. Don’t upgrade a computer running Windows XP. 2. Upgrade any Windows Vista computer to Windows 7 3. Buy a new computer if you need a new computer. Don’t wait on Windows 8. Episode 12: Password Management: How do you keep track of your passwords? I’m Jeff Durbin and this is Talk Tech with CTI. One of my clients recently asked me how I keep track of my passwords. So, I’m going to tell you about the way I manage my passwords. Passwords! It’s a love hate relationship. There’s a password for your email, password for this web site and that web site, a password for my bank, password for my cable bill, you get the idea. We all have a lot of passwords. Keeping track of all of these passwords is a full time job. I’ve tried a lot of different ways to manage my passwords. One the deciding factors of why I do it the way I do is cost. I don’t want to spend money to manage my passwords unless I have to. Free password management tools exist. You might even have some of the tools already installed on your computer. Microsoft’s Excel progam makes an excellent tool for managing passwords. You can create a spreadsheet with all of your passwords and user names. Using the built-in security features you could then password protect the spreadsheet. This isn’t the most user friendly approach but it works. I’ve known people who keep a Word document with a list of passwords and user names. This way will work. You can even password protect the document. In the end though it doesn’t really matter how you manage your passwords as long as you keep them safe. Using a Word document or Excel spreadsheet even if it is password protected is not the most secure method of managing your passwords. That’s were KeePass ( http://keepass.info ) comes in. KeePass is a free Open Source password management software. It keeps your user names, notes and passwords all in one database. This database is password protected. You only need to remember one password to access all of your passwords. I know this doesn’t sound much different than using a password protected Excel spreedsheet. The difference here is that your KeePass database is protected by the best and most secure encryption algorithms currently known (AES and Twofish). If you use a good, strong password for your database master password this is as secure as it gets. Some people even go one step further and encrypt the database file using someting like TrueCrypt ( http://www.truecrypt.org )or BitLocker ( http://www.talktechblog.com/bitlocker ). That’s one of the great things about KeyPass, you can use it any way you choose. You can encrypt the database with a third party encryption software, you can even encrypt a thumb drive and run it from there. Because KeePass is Open Source, it theoretically is more secure than a proprietary solution. Allowing access to the code let’s security researchers review the code and see if it is truly secure. KeePass is the most secure free password management solution that I have found. I even have an app on my iPhone called MiniKeePass ( http://www.talktechblog.com/MiniKeePass ). It’s free and so far I’ve really liked it’s features. You can even use DropBox to import and export the databases. It’s not as seemless as something like RoboForm ( http://www.roboform.com ) or OnePassword ( https://agilebits.com/onepassword ), but it’s free and open source. If you are looking for something a little more seemless you might want to check out one the commercial products. Here’s the process I use for managing passwords with KeePass. 1. Create your database. 2. Create your Master Password. 3. I create groups. You don’t have to, but it helps keeping everything organized. It comes with some default groups. General, Windows, Network, Internet, eMail and Homebanking. 4. Start creating entries for each of the passwords that you use. Start with the passwords you use most often. 5. Once you have the database created and populated, it’s time to go and use the password generator and creat a secure password. Change the password to the secure password that the app generated. This will make it a lot easier to manage creating secure passwords. 6. Make sure to backup your database. Considering getting an off site copy. Put it on a flash drive, use DropBox, or you could use a backup program like CTI Remote Backup ( http://whatisyourdataworth.com ) to backup the database to an off site location. 7. Update your entries every time you create or change a password. This isn’t the only way to manage your passwords. You can do it anyway you choose, but this is the way I recommend. I hope this helps. All computers should have anti-virus software installed. Your business depends on your computers. Defend your computers from viruses and malware. Are free anti-virus and malware programs safe? The answer is, it depends. Some of the free anti-virus programs are more effective than other’s at protecting your computer. Most of the free offerings lack something over their paid counter-parts. Most will protect you from viruses fairly well, but sometimes they are not as good at removing viruses once they get on your computer. Most won’t protect you from all of the malware/adware/spyware. So, you will need some kind of ant-malware program. The problem with most free anti-malware programs is they only clean-up the infection. If you purchase the software it will pro-actively protect your computer. So, yes, it is safe to use free anti-virus software. Is it better to purchase your anti-virus and anti-malware programs? The paid-for versions of most anti-virus software are more reliable at removing infections. Also, they tend to get definition updates more often. Anti-virus and anti-malware programs are only as good as the most recent update. So, the paid versions are definitely more effective at protecting your computer. Using free anti-virus software at home is fine. Using free anti-virus software in a business environment is against the EULA ( http://en.wikipedia.org/wiki/EULA ) of most free anti-virus vendors. That being said Microsoft Security Essentials ( http://windows.microsoft.com/en-US/windows/products/security-essentials ) has pretty generous EULA. You can use Microsoft Security Essentials on up to 10 computers in your business. Microsoft Security Essentials is my current free anti-virus software of choice. It seems to do an adequate job of protecting the computers it is installed on. I usually suggest, if you have more than 5 computers a paid solution with management capabilities should be installed on your network. Less than 5 computers in your business, then the choice is up to you. Tips: Update your anti-virus as often as possible. Keeping your anti-virus or anti-malware software up to date is crucial for it’s effectiveness. If your anti-virus software is out of date, you are no longer protected against the newest threats. Never install more than one anti-virus software. Installing more than one anti-virus software package can cause lots of problems. The least of the problems is the fact that it reduce the performance of your computer. Installing multiple anti-malware packages is OK, only if they are not pro-actively protecting your computer. If you purchase something like MalwareBytes Pro, you should not install, another pro-active anti-malware package. If all you are doing is scanning manually then using multiple malware packages is fine. Remember, if you pay for your anti-virus software, you have support available. If you have problems you can use the software companies support options to solve your issues. If you use a free option usually there is no support or limited support. Usually, with the free options you are on your own if you have problems. Keep your browser and browser add-ons up to date. For example, if you use Chrome as your browser make sure that it is the latest stable version. Keep Adobe Flash, Adobe Reader, Java, Silverlight up to date as well. Make sure that Windows has automatic updates enabled. This will help keep your system safer. Always, use good strong passwords. Remember, using a free software package like Microsoft Security Essentials ( http://windows.microsoft.com/en-US/windows/products/security-essentials ) should be adequate for home users, but using a paid-for program like AVG will protect you better. Last episode we talked about cleaning the physical hardware. This episode I talk a little about how to clean up your PC from a software standpoint. I suggested using Speccy ( http://speccy.com ), using this utility to evaluate whether you should upgrade or replace your PC. If your PC is more than 5 years old it needs replaced. I use the guideline of 3-5 cycles. It just depends on the use case. Laptops I recommend every 3 years, but desktops can go up to 5 years. If you have a computer that is running Windows Vista, then upgrade to Windows 7. Your computer will perform better, with Windows 7 than it does with Windows Vista. Always. Always. Purchase the Professional version of Windows for business use. Trust me it will save headaches in the long run.
